Note: The job is a remote job and is open to candidates in USA. Confidential company is seeking a Legal Billing Administrator to support its in-house legal department. This role involves managing and analyzing outside counsel invoices to ensure accuracy and compliance while identifying cost-saving opportunities.
Responsibilities
- Review, audit, and process invoices submitted by outside counsel for accuracy, compliance, and adherence to billing guidelines
- Analyze legal bills, including time entries, staffing, rates, and expenses, to identify discrepancies, inefficiencies, or non-compliant charges
- Ensure all invoices comply with outside counsel guidelines, engagement terms, and applicable billing standards (e.g., LEDES formats)
- Manage e-billing systems (e.g., Legal Tracker, CounselLink, TeamConnect, or similar), including invoice submission, approval workflows, and system maintenance
- Partner with internal attorneys to resolve billing issues and clarify invoice questions
- Communicate directly with law firms to address billing rejections, reductions, or guideline violations
- Track and report on legal spend, including budgeting, accruals, and forecasting
- Develop and maintain reports and dashboards on legal expenses, vendor performance, and billing trends
- Monitor and enforce billing policies to support cost control and operational efficiency
- Assist with vendor management, including rate reviews and outside counsel performance analysis
- Support audits and ensure proper documentation of billing decisions and adjustments
- Identify opportunities to improve billing processes, automation, and cost management strategies
Skills
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field (or equivalent experience)
- 2–5 years of experience in legal billing, preferably within an in-house legal department or supporting corporate legal teams
- Strong understanding of legal billing practices and outside counsel guidelines
- Hands-on experience with e-billing platforms (e.g., Legal Tracker, CounselLink, Brightflag, or similar systems)
- Proven experience analyzing legal billing data and generating actionable insights
- Advanced proficiency in Microsoft Excel, including pivot tables, reporting, and data analysis
- Strong attention to detail and ability to manage high-volume invoice reviews
- Excellent analytical, organizational, and problem-solving skills
- Strong communication skills with the ability to interact effectively with attorneys and external vendors
- Experience with legal spend management and vendor performance analysis
- Familiarity with accrual processes and financial reporting within a corporate environment
- Experience implementing or improving billing guidelines and controls
- Knowledge of matter management or legal operations tools
- Ability to work independently in a fast-paced, deadline-driven environment
