Position Overview
As a Part-Time Remote Customer Service Representative at arenaflex, you will be responsible for performing comprehensive data entry tasks, managing patient information, and handling high-volume customer requests. This role requires a strong commitment to accuracy, excellent communication skills, and the ability to work effectively under direct supervision while adhering to strict regulatory guidelines including HIPAA compliance.
You will be working within our advanced pharmacy systems, processing new patient enrollments, handling prescription refill requests, and resolving third-party rejections that may occur during the processing of insurance claims. The ideal candidate will be comfortable navigating multiple computer systems simultaneously, possess a keen eye for detail, and demonstrate the ability to interpret medical abbreviations and SIG codes accurately.
Key Responsibilities
- Patient Enrollment and Data Management: Utilize arenaflex prescription data entry methods and guidelines to process new patient enrollments by accurately entering information into the appropriate system. This includes capturing demographic details, insurance information, and medical history data with precision and attention to detail.
- Prescription Processing: Handle patient medication requests within strict HIPAA guidelines, entering refill orders for processing by our pharmacy team. Investigate and obtain missing prescription information as needed, and accurately interpret clinical abbreviations and SIG codes to ensure proper medication instructions are captured.
- Exception Resolution: Resolve all data entry-related exceptions that arise during the processing workflow. This includes identifying discrepancies, researching root causes, and implementing corrective actions to ensure accurate and timely processing of all patient requests.
- Patient Communication: Handle comprehensive correspondence with patients through inbound calls, chat messages, and emails. Additionally, make outbound calls to prescribers and patients as necessary to gather information, clarify prescription details, or follow up on pending requests.
- Third-Party Rejection Management: Resolve third-party rejections by thoroughly researching, gathering required information, making necessary amendments, and resubmitting claims for processing according to individual plan requirements. Make phone calls to backup plans and other relevant parties to obtain information, gain override approval, or otherwise resolve third-party rejections efficiently.
- Pharmacy Support: Provide assistance to pharmacists both in your designated office and at other arenaflex locations. Identify and appropriately escalate issues to senior-level staff as needed to ensure seamless pharmacy operations and exceptional patient care.
- Compliance and Licensing: Obtain an active pharmacist license or certification within the first 90 days of employment and maintain an active pharmacist license or certification throughout your employment with arenaflex.
Essential Qualifications and Requirements
To be considered for this position, candidates must meet the following essential requirements:
- Educational Background: Bachelor's degree from an accredited institution is required. Degrees in healthcare administration, pharmacy, biology, or related fields are preferred but not mandatory.
- Computer Proficiency: Basic level computer skills including the ability to start up and shut down computers, use mouse pointing and clicking, start and close programs, switch between applications, save documents, print documents, and access information online effectively.
- Internet Navigation: Basic web browser skills to include opening a browser, typing URLs in the correct location, using search engines, bookmarking websites, navigating using back/forward/stop buttons, and completing online forms accurately.
- Keyboarding Skills: Intermediate level keyboarding skills with a minimum typing speed of 25 WPM (words per minute). Must be capable of typing from memory and formatting documents professionally.
- Communication Skills: Excellent written and verbal communication skills. Must be able to articulate clearly, listen actively, and respond professionally to patient inquiries and concerns.
- Attention to Detail: Strong ability to accurately interpret medical abbreviations, SIG codes, and prescription information with minimal errors.
- Regulatory Compliance: Must be willing to obtain required licensing or certification within 90 days and maintain compliance with all applicable state and federal regulations including HIPAA.
Preferred Qualifications
While not required, the following qualifications will give candidates a competitive edge:
- At least one year of pharmacy technician experience in a retail or call center environment
- Previous experience providing customer service to both internal and external clients, including meeting quality standards for services and evaluating customer satisfaction
