Position Overview • Role Type: International (non-USA) Independent Contractor • Location: Remote (Overseas candidates welcome; must operate in the US via an approved VPN software). • Schedule: 40 hours a week Must be fully available during U.S. business hours (US Eastern Time) and reliably overlap with provider, patient, pharmacy, and insurance schedules. • Compensation: Paid bi-weekly in USD. We are seeking a highly independent, proactive, and dependable virtual Clinical Operations Assistant (COA) to support our providers, patients, and day-to-day practice operations. This multi-faceted role combines patient communication, healthcare administration, direct provider support, medication management authorization, and insurance workflows. The ideal candidate has lived experience with or a strong motivation to serve the LGBTQIA+ community. Key ResponsibilitiesPatient Support • Manage patient communications and assist with administrative questions. • Coordinate scheduling, appointments, and follow up on outstanding forms, referrals, or documentation. Provider & Medication Support • Review patient charts for medication authorization requirements. • Prepare, submit, and track Prior Authorizations, including handling insurance follow-ups and appeals. • Coordinate directly with pharmacies and insurance companies regarding medication approval workflows and verbal refill orders. • Support general medication-related administrative workflows for prescribing providers. Administrative Operations • Maintain organized task management systems to ensure timely workflow completion. • Maintain accurate records and healthcare compliance documentation. Position RequirementsRequired Qualifications (Must Have) • Experience: Minimum 1 year of healthcare administrative, behavioral health, clinical operations, or medical office experience. • Community Connection: Lived experience working with or serving the LGBTQIA+ community , with a strict commitment to inclusive, affirming, patient-centered care. • Compliance & Communication: Proven experience handling HIPAA-protected information and maintaining strict confidentiality. Excellent written and verbal English communication skills are required. • Tech & Infrastructure: Proficiency with Google Workspace, Microsoft Office , and electronic health records (EHR). Must have a reliable internet connection , a professional remote workspace , and a failsafe back-up plan for power/internet outages. • Working Style: Strong organizational, time-management , and independent problem-solving skills with minimal supervision. Preferred & Valued Qualifications (Strongly Preferred) • A degree in nursing, medical training, or medical certification. • Prior independent experience with U.S. insurance workflows, verification, claims communication , and referral management. • Experience supporting psychiatric, behavioral health, or telehealth medical providers. • Familiarity with gender-affirming care and LGBTQIA+ healthcare needs. • Experience using platforms such as Tebra, IntakeQ, Spruce, or CoverMyMeds. • Experience with SOP development, workflow optimization , or project coordination.
